    WWBC BLOOD DRIVE
    Date & times: Wednesday, April 24, 2019--12 noon to 7 pm 

    For the Stanford Blood Center, this time of year means possible blood shortages. Vacations and busy schedules keep people from donating blood regularly. The hospitals we serve need a constant supply of blood products, particularly for preemies, cancer treatments, and complicated transplants. A liver transplant, for example, sometimes requires 40 or more units of blood. Stanford Blood Center is honored that the Western Wheelers have supported local patients by giving blood as a group since 2012. You are an important part of our life-saving team!

    So come out and join your fellow Wheelers. All drives will take place in the Mountain View Center at 515 South Drive #20.  You can make an appointment online here, call 888-723-7831, or email at givebloodSBC@stanford.edu. The additional dates for 2019 will be 07/24 & 10/23, so please mark your calendar.

    Be sure to tell the receptionist when you check in that you are participating in the Western Wheelers blood drive.

    WWBC Spring Picnic is Sunday, April 28!

     

    Feliz Primavera! Come enjoy great company and delicious food at the Western Wheelers' annual Spring Picnic. We will be in a new location this year at Cuesta Park in Mountain View, where the fiesta will begin at 1 pm in the large group picnic area off Cuesta Drive (opposite Nilda Avenue).

    In our Cinco de Mayo tradition, we will have Mexican food from a local taqueria, as well as salads, dessert and refreshments. Please register so we have enough for all. There will be rides scheduled to cycle to the picnic to work up an appetite and start the party, so check out our ride calendar to find your ride.

    New this year: We will have a bike clothing free box/swap, so please bring any new or gently used bike jerseys or other bike clothing you’d like to rehome.

    Also, Bob Parker will have have bring bike polo gear, ball and mallets for anyone who would like to give bike polo a try (best done with wide-tired or mountain bikes). Contact Bob with any questions at bob.parker@sbcglobal.net.

    DAY of Ride Sunday, June 2

    Rest Stops, Radio & Returns

    Radio Communications. YOU MUST BE A LICENSED HAM OPERATOR to volunteer for this activity as well as provide your own radio. Radio operators serve a 4 to 6-hour shifts, either in a fixed location or roving SAG vehicles. Radio operators may either be a passenger or drive the vehicle. Fixed locations include: Start/Finish (Lot 1D) & 6 rest stops. Captain TBD

    Rest Stops. Volunteers will set up the rest stop, serve snacks to riders, provide information and close the rest stop. Start time may be staggered among volunteers. Some may be asked pick up supplies at Foothill College on Saturday. Others may be asked to deliver equipment and leftover food back to Foothill College. Plan on adding an hour before the shift or after the shift.

    Alpine 7:00 AM – 10:00 AM.   Captain: Kai Wiedman
    Bike Hut 9:00 AM – Noon.   Captain: Vern Tucker
    La Honda 7:30 AM – 10:30 AM.   Captain: Vickie Romo

    Foothill College Returned Materials Unloading and Inventory. Unload cars and vans, record the amounts of food coming from each rest stop, and sort the goods. Two shifts of two volunteers each 1:30 PM - 7:30 PM. ABILITY TO LIFT AND MOVE MATERIALS IS REQUIRED. Lot 1H

    BEFORE the Ride (thru) Saturday, June 1

    Baked Goods Bake 5 dozen cookies or similar baked goods.  Jani Richards

    Chocolate Milk Coordinator. Gather ice chests, get ice, set up cooling pools.  Coordinate crew to hand out chocolate milk at the Finish Line.  Two shifts of two each needed. Captain TBD

    First Responder Notification 

    Food & Gear Distribution Food and gear distribution is done on Saturday, the day before the ride. Trucks containing the food and equipment for all venues are brought to the distribution site on the Foothill campus: Lot 1H (under Solar Panels). Volunteers sort the food and equipment for each rest stop and help load cars and vans of the rest stop volunteers. Lunch/drinks will be provided.  Vicki Pelton

    Early Check in Merchandise Sales Sell and distribute Sequoia pre-ordered merchandise. Includes socks, jerseys. Saturday - 11:30 AM - 7:00 PM. 2 Shifts.  Bicycle Outfitters, 963 Fremont Avenue, Los Altos.

    Early Check in Riders Distribute maps-queue sheets, wristbands & other rider info and collect waivers. Take registrations (if available). Saturday - 11:30 AM - 7:00 PM. 2 Shifts. Bicycle Outfitters, 963 Fremont Avenue, Los Altos. Bert Nelson

    Food Planning and Ordering Create master list of items and place orders with vendors. Requires one person with a Costco business membership and a location (business location preferred) to accept delivery of the items on the Friday before the Sequoia. Requires one person to work with the team captain on Friday before the Sequoia with a truck or minivan to go shopping for needed Requires one person to work at the Foothill College site on Saturday distribution day 8 am - 1 pm.  Pick up lunch for the volunteers and shop for missing items.     Recruiting/Volunteer Now through Fri, May 31 @ your home! Work to fill vacant Sequoia volunteer positions. Task begins after the team captains have done initial recruiting of new and previous volunteers. Announce to the club that online sign-ups are open. Determine what additional volunteers are needed and contact individual members to fill needed openings.  Last minute recruiting will be needed to fill any needed volunteers in the days before the ride.   David Lerner (Filled)

    Rest Stop Captain Set up the meetings schedule for Rest Stop captains/workers to teach the requirements for safe food handling and customer service.  Work with the rest stop captains to ensure they all have the needed items and that they understand the requirements for a safe, well organized rest stops and share our famous techniques o"we're here for the riders!"  Vern Tucker (Filled)

    Route Marking and Signs Before the ride, develop route marking team plan. Determine needed signage. Order and acquire Route Arrows, signs and needed tools. Have multiple teams of 2-3 drive specified segments of the course to apply Route Arrows and put up all needed signs. Fletcher Johnson 

    Notice to Neighborhoods Distribute small flier to homes on Moody, Page Mill, West Alpine, and Pescadero Creek Rd.  Place on mail boxes or gates and on community billboards; Robert’s Markets (Woodside and Portola Valley), Ladera Market, La Honda Market, Norms Market, etc.  Flyers will be especially prepared for this task.  

    Friday Loading Fri, May 31 - 12:30 PM - 2:30 PM Storage locker, Mary St, Cupertino. Volunteers will move/load equipment from the storage locker into the large rental truck. SOME MODERATE LIFTING INVOLVED Transportation Captain Guy Shuman. 

    Saturday Transportation Unloading Sat, June 1 - 8:00 AM - 12:00 PM Foothill College, Los Altos Hills. Volunteers will pick up rental vans as needed, then assist in picking up supplies at various vendors as well as unload/reload the large truck at the distribution center. Lunch provided. Transportation Captain Guy Shuman.

    Foothill College Location

    Foothill College Traffic & Parking.  Post traffic monitors along entrance road and Lot 3. Train crew to minimize congestion and create smooth entry/exit. Duane Linden 

    Foothill College Flags and Pendants. Gather flags and pendants from locker. Set up at start day before in Lot 3.  Move to Finish Line later in day. Lot 1H. Take down flags, signs and pendants at end of the day and return to locker. Two shifts, two volunteers each. Captain TBD

    Foothill College Signs. Determine needed signs and mounting hardware, bring to site. Put up flags and directory signs at parking and check in. Move flags and signs to the finish line area in afternoon. Take down all signs and flags after 6 pm. 

    Bike Parking "Valet".  Create a number tag/ticket system.  Set up bike racks or use tennis court area (in/out) provide security while riders have finish line meal. Retrieve/return bikes to riders. 2 shifts with crew of 5 each. Captain TBD

    Emergency Phone Contact Foothill College & Finish Line area w radio/sag team.  2 Shifts. Acquire Event Only cell phone to receive calls from riders needing SAG assistance. Relay emergency information to radio/sag crew. You will need an EVENT SPECIFIC cell phone and a number to be printed on the route sheets. (Need phone number by April 15).

    Foothill College First Aid.  Support first aid needs at Finish Line.  EMT trained preferred. Monitor riders as they finish; look for stress/heat issues. Contact/in touch with Foothill College Fire/EMT Station. Two shifts: 11 am - 2:30 pm, 2:30 - 6 pm. Ken Lum

    Chocolate Milk Distributors.  Hand out chocolate milk to riders at the Finish Line. Two shifts of two volunteers each needed.

    Finish Line Festivities - Connie Jorgensen

    Foothill College Start Area  Set up tables and bike racks, serve snacks to workers & riders, provide water for bottles, and generally help riders get on the way, 4:30 AM - 9:00 AM.  Russ Hull

    Foothill College Shift 2 Direct and cheer returning riders to the lunch spot; clear tables and restock garbage bags and toilet supplies. 12:00 PM - 4:00 PM Russ Hull and TBD

    Foothill College Shift 3 Direct returning riders to the lunch spot, clear tables, and help pack up and clean the site. 3:00 pm - 7:00 Russ Hull and TBD

    Foothill College Merchandise Sales. Set up table, chair, shade, signage, and money box. Take payments via PayPal. Sell and distribute pre-ordered Sequoia merchandise. Two shifts, one volunteer each at Lot 1H.  

    Foothill College Check In.  Set up tables, signs and chairs, crowd/line control plan.  Greet riders, verify registration, assign rider numbers, rider ID wrist bands and maps, answer questions. Four Routes depart in half hour windows beginning at 6am.  Last group of riders on route by 8 a.m. One shift; begins 5:30 AM. Ends 9:00 AM. Lot 3. Bert Nelson  

    Load the Truck. With help from site volunteers, the crew will load the large truck with all the supplies going back to the WW storage locker. The crew will also assist with general site cleanup as needed. 5:30 PM - 8:30 PM Transportation Captain Guy Shuman.

    SAGS & Safety

    Safety Monitors. Serve 3 hour shifts at locations requiring extra caution or directional information.     SAG. Drivers follow assigned route to assist riders. SAG volunteers can be passengers in cars or drive alone and may be accompanied by a radio volunteer. Each driver can expect to drive 100-200 miles over the course of a 3-hour shift. You will carry a pump, repair parts (tires, tubes and cables), light snacks and water, all except water, supplied by the club. Drivers can receive a payment of $25 to defray the cost of gasoline. The SAG team captain will schedule the drivers and routes.  Robert Sexton

    MONDAY, June 3

    Pick Up & Removal 

    Sign Pickup and Arrow Removal The day after the ride, Monday June 3rd8:00 AM - 12:00 PM Route Volunteers will check with Route marking captain to locate and retrieve course signs and return them to the storage locker. Volunteer will also remove Route Arrows in Pescadero and Portola Valley using needed tools provide by club.

    Truck Loading/Unloading Continue 8:00 AM - 12:00 PM Storage locker, Mary St, Cupertino. Volunteers will unload the large truck's contents into the storage locker. Task involves some lifting and working outside washing equipment. All coolers will be emptied, washed, and cleaned. One volunteer will take some small items home and wash them.  Transportation Captain Guy Shuman.

    Sequoia Fiesta Friday & Saturday, June 7-8


    Pick up food/beverages (Pescadero): Friday Jun 7. Pick up food at Pescadero and drop snacks at Bike Hut: Friday June 7th morning (4 hours). Pick up fiesta beverages and snacks at Pescadero Arcangeli store. Drop off snacks and supplies at Bike Hut for cyclists doing the long route the next day.  (1 volunteer needed)

    Breakfast stop: Sat Jun 8 *morning*. Get breakfast and coffee, setup breakfast station for riders, take down breakfast station. (2 volunteers needed /2-3 hours)

    Fiesta Entertainment Chair: Sat Jun 8. Set up games for the picnic (Facilities such as volleyball, horse shoes, bean bags are available near the picnic area). (1 volunteers needed /4 hours)

    Fiesta setup and take-down: Sat Jun 8. Get picnic supplies from the storage (table cloths, flags, ice chest), buy ice/water, set up picnic area before lunch, take down picnic area after lunch. (3 volunteers needed /6 hours)

    WWBC BLOOD DRIVE
    Date & times: Wednesday, July 24, 2019  12 noon to 7 PM

    For the Stanford Blood Center, this time of year means possible blood shortages. Vacations and busy schedules keep people from donating blood regularly. The hospitals we serve need a constant supply of blood products, particularly for preemies, cancer treatments, and complicated transplants. A liver transplant, for example, sometimes requires 40 or more units of blood. Stanford Blood Center is honored that the Western Wheelers have supported local patients by giving blood as a group since 2012. You are an important part of our life-saving team!

    So come out and join your fellow Wheelers. All drives will take place in the Mountain View Center at 515 South Drive #20.  You can make an appointment online here, call 888-723-7831, or email at givebloodSBC@stanford.edu. The additional date for 2019 will be 10/23, so please mark your calendar.

    Be sure to tell the receptionist when you check in that you are participating in the Western Wheelers blood drive.
